These are the party tasks and the timing in which you need to accomplish these birthday tasks.
60 days - Pick a date (be sure this doesn’t conflict with holidays, other community events, weddings, graduations, etc.) Agree on a budget. If your party is off-site, be sure you estimate the number of guests, and reserve the space.
50 days - Talk to your child or family and pick a theme 45 days - Schedule, order, buy or rent items (inflatables, entertainers, and other items that may require advance lead time or notice) Find artwork, supplies, and games to support your theme (order whatever you need in advance) 35 days - Design invitations for postal mail, email, etc. Develop guest list of adults and children 30 days - Send invitations, order any specialty foods, cakes, etc. Line up chaperones and helpers, Plan menu and cake (if homemade) 14 days - Shop for non-perishable foods and any party supplies or items you have not already ordered, Confirm hall, entertainers, etc. Confirm chaperones 7 days - Follow up on RSVPs and get final count for food order or for caterer, Cook foods in advance and freeze them if you can 2 days - Shop for last minute perishable items, 1 day - Pick up rentals if you can
Go over all supplies, decorations, games and activities and make sure you have everything you need. Look at directions on games to be sure you know how to play them. Thaw frozen foods and be sure you have all dishes and serving bowls etc. Day of - Pick up rentals (if you could not do it the day before), pick up cake or other items you ordered Set up games, Clear house of furniture and breakable items, or other things that may be in the way and straighten up, Decorate House, Talk to chaperones and helpers about serving and what you expect, Set Table Be sure your child is rested and fed Get kitchen ready to serve with counter space, garbage cans, etc., Make sure you have a place for coats, hats, dirty shoes etc
